The responsibilities:

Duties
  • First point of call with all incoming calls, including transferring to the relevant person, taking messages and forwarding them through via email;
  • Ensure all messages are accurately recorded and relayed without delay;
  • To meet and greet visitors, ensuring they sign in and offering them refreshments;
  • Take responsibility for co-ordinating and maintaining the waiting room supplies (tea, coffee, water, etc)
  • Take responsibility for co-ordinating and purchasing (when authorisation received) of stationary supplies;
  • To co-ordinate / control bookings of training room;
  • Updating client and carer files on the Homecare roster;
  • Sending out application forms to potential carers;
  • Sending out information packs to potential clients;
  • Maintaining a safe and clean working environment in your work area (Ensuring that the desk is left clear each evening and that all boxes, files, etc are stored out of sight)
  • Stationary orders are on a Tuesday;

  • Screening and promptly responding to emails using Microsoft Office Outlook;
  • Forwarding Teleconfirmation messages to the appropriate areas using email;
  • Contacting carers who are said to be late on the Teleconfirmation system;
  • Make sure the training room is set up appropriately on Wednesdays and Thursdays;
  • Sending Texts on the iflow system and changing the greeting each morning and evening;
  • Organising the petty cash and ensuring the cleaner is paid each week;
  • Ensuring the office is stocked with postage stamps;
  • Making lodgements in the bank;
  • Sending out monthly reviews to clients;
  • Sending out clients invoices at the months end;
  • Assisting with Carers payslips at the end of the month;
  • Inputting annual leave requests into the database;
  • Filing Carers timesheets at the end of the month;
  • Ordering gloves and Aprons for the carers;
  • Supply adequate supply of registration forms;
  • Taking the post each day and organising mail merge projects;
  • Organising couriers, signing for packages and managing costs;
  • The typing of documents, letters, reports, etc using programs such as Microsoft Word, Excel, PowerPoint and Publisher;
  • Lunchtime relief/cover of colleagues including taking telephone messages and making sure all urgent teleconfirmation messages are seen to;
  • To ensure there is an adequate amount of application forms, time sheets, annual leave forms and assessment note forms at reception;
  • Preparing Clients and Carers white and brown folders;
  • General administrative support;
  • Booking of taxis;
  • To ensure procedures bare adopted to meet both internal and external requirements;
  • To assist in other areas of business when required, e.g./ad-hoc secretarial/administrative duties;
  • Act as PA to management team when required;
  • Assist Manager in devising solutions consistent with business;
  • On call relief if Carers are unable to attend work;
  • Putting the rubbish out.
Overall Objective:
The RA supports the HRM in specific aspects of the running of the office. They will be someone with excellent communication skills, who enjoys dealing with customers, colleagues and suppliers and who responds well to requests/demands from several different areas at once. Dealing with a busy switch an a work environment with a constant flow of people and paper, the ability to prioritise and stay organised while maintaining a cheerful, professional and helpful disposition
