A 530 - Human Resources and Office Assistant - Urgent

Internships Ireland is a company specializing in locating interesting internships in Ireland for European students who are looking to do internships in Ireland.

Position: Human Resources and Office Assistant

Host company profile: an international healthcare consulting company

LocationDublin, Ireland

Date: The internship is available immediately for 6 months

Remuneration:     800€ per month

The responsibilities:

Provide full and confidential support to the Human Resources Director in the following areas:
-          Recruitment Administration
-          New Joiner and Leaver Administration
-          Training and Performance Management Administration
-          Leave Management
-          Relocation and Work Permit Administration
-          Templates and Form


Recruitment Administration
-          Provide recruitment administration support in relation to sourcing candidates, job posting on internal and external job boards and maintaining Axios company careers page.
-          Prepare Job Descriptions and Person Specifications as required by Human Resources Director.
-          Co-ordinate interview scheduling between Line Managers and candidates through liaising with recruitment agencies.
-          Co-ordinate HR screening interviews between the Human Resources Director and candidates and take responsibly for the diary management of Human Resources Director for all recruitment meetings.
-          Manage and collate job applications and responses to all applicants within a timely manner ensuring the Axios careers mailbox is up to date and maintained.

New Joiner and Leaver Administration
-          Manage the new joiner administrative process for all new joiners.
-          Track and manage probationary periods and ensure probationary review meetings are scheduled with Line Managers.
-          Administer key induction activities such; as ensuring new starter has required materials, IT setup, and scheduled meetings
-          Manage the separation administration checklist and schedule exit interviews between leavers and Human Resources Director.

Training and Performance Management
-          Maintain the Performance Management System (Emperform) including setting up new employees and changes in reporting lines.
-          Maintain training records and administration of all training activities.

Leave Management
-          Manage the leave recording for all employees¡¦ e.g. annual leave, sick, maternity.

Relocation and Work Permit Administration
-          Assist in the application of work authorisation for employees e.g. green card, work permits etc
-          Provide support to employees on relocation matters and logistics.

Templates and Forms
-          Manage letter templates and provide letters of support to employees as requested (landlords, visas, loans and references).

Support the Dublin Office:

-          Promptly answer phones, take messages when necessary, and relay them to the proper individual.
-          General office duties and assistance (stationary ordering, contacting suppliers for office requirements/repairs, ordering of food supplies for meetings and office, post office and courier duties).
-          Build relations and contracts with vendors and contractors for the office (utilities, cleaning, telephone services, travel insurance and office insurance).
-          Make travel arrangements for Human Resources Director and Dublin staff as required.
-          Arrange web conference calls - group wide using GoToMeeting.


Profile:

-          Qualification in Administration with an interest in HR.
-          Be experienced in handling a wide range of administrative related tasks and will be able to work independently with little supervision
-    Be well organized, flexible and enjoy the administrative challenges of supporting a small consultancy office of diverse people and projects
