Location: Dublin

Date: The internship has flexible start date with a minimum period of 4-5 months.

The responsibilities:

Initial Duties

  • This will be a requirement throughout the whole internship in these departments;
  • Dealing with Supplier Accounts
  • General Administration
  • Understanding of Bill of Lading, regulatory documents etc.
  • Supporting on documentation scanning
  • Updating information on CIEL operations system
  • Liaising wit shipping lines on transit schedules
  • Working on our accounts system
  • Customer and Warehouse reporting

Chance of progression

After the initial 3mths if the internship is progressing to a more than satisfactory level the manager on discussion with the intern and HR may introduce them to the following activities:

  • Understanding of Customs Clearance
  • Understanding of Port Operations
  • Understanding of Markets and Rates
  • Trade Imbalance

Remuneration:  Allowance (not deemed to be a salary) to help towards travel & expenses throughout the students stay in Ireland.  The amount offered is €650 per month or €150 per week paid on a monthly basis

Initial Duties:

Accounts Receivable

  • Daily cheque entry to cash book and preparation of bank lodgments
  • Allocation of payments to customer accounts
  • Sending statements and invoices to customers as requested
  • Bank Reconciliations – mainly EURO account
  • Liaising with customers by mail/phone
  • General Accounts Receivable queries and support
Accounts Receivable Reports

  • Exceed Credit Limit report – Print daily and send to appropriate finance person
  • COD (Cash on Delivery) report – preparation and submission to finance manager
  • Overall Debtors report – preparation and submission to finance team
  • Departmental Debtors report – preparation and submission to finance team
 
  • Uninsured Debtors report – preparation and submission to finance team
  • Credit notes report – preparation and submission to finance team
  • Expired credit limit report – run once monthly and communicate findings to finance manager
  • Credit Insurance report – preparation and submission to finance team

Account Payable

  • Invoice /Credit note allocation for some of company’s major suppliers
  • Intercompany reconciliations
  • Reconciling statements and other various checks on supplier statements
  • Booking of supplier payments, including sending remittance advices
  • Liaising with company suppliers by mail/phone
  • General Accounts Payable queries and support
Accounts Payable Reports

  • Creditors ageing report – preparation, analyzing and reporting findings to Accountant
Other

  • Frequent liaising with other departments
  • Updating of Accounting system (Acon) in order to get appropriate reports
  • Archiving & Storage of financial files
  • Keying in statistical figures where necessar

Chance of progression

  • Understanding of profit and loss and balance sheet statements
  • Assisting Accountants in Month end process, i.e. booking vouchers/invoices etc.
  • Understanding of company Fixed Assets Module
  • Understanding of information contained within monthly management accounts.
  • Other areas as they arise/become relevant

The responsibilities:

Main responsibilities will include:
  • Assisting Accountant with administration/filing/logging of Invoices  Basic accounts administration
  • Assisting Marketing team with administration/organisation of events
  • The role is front of house reception, with the responsibility for meeting and greeting clients, answering a not very busy phone and transferring calls to the relevant company departments

The responsibilities:

Position: Key Accounts Department

The role will involve a variety of tasks:
·         Assist in generation of  monthly analysis and business review
o        Preparation of monthly account analysis for Dublin Branch
o        Monitor and report Business Review scheduling
o        Monitor and report Business Review content
o        Monitor and report Corrective Action activity and quality.
o        Assist in preparation of monthly and quarterly business reviews
·         Assist in maintaining operational data quality with Key Account Managers
·         Assist Key Account Managers in generating and maintaining Operational Procedures
·         Assist Key Account  Managers in month end closing
o        Liaise with Air, Road and Sea Freight departments to compile data.
o        Generating Monthly KPI / statistics reporting to Key Account customers

Position: Dublin Aerospace
·         Opening export and import courier bookings for Roadfreight jobs.
·         Looking after handovers from different agencies
·         Using SALOG for opening Import jobs
·         Passing Invoices on Acon
·         Filling, Scanning and any other adhoc duties required.

Chance of progression :

·         Student will be asked use academically gained knowledge, align with practical knowledge gained during internship and prepare short presentation to Key Account Managers on Process Improvements,  New Service Ideas, New Reporting Solutions or any other ideas how to improve overall services.

·         Attend to low level meetings with Key Customers and take responsibility for
o        Taking minutes of the meetings
o        Devising process maps

Hours of Work:         Monday to Friday – 9am to 5.30pm

Profile:
  • Business/Marketing or a Logistics background/studies (Interest in Logistics is preferred)
  • Good communication skills
  • Desire to learn and a commitment to working hard and making a genuine contribution.
  • Willingness to undertake all kinds of work.
  • Strong Computer literacy: in Particular with Excel, and good internet skills.
  • Good English
  • Punctuality
